Why do I need to enter my actual money?
It is important to enter your actual money before you start using the app so you can reconcile your money. See ‘What is close my day and why do I need to do it?’ to learn more about why reconciling your money is important.
What does ‘Close Day’ mean and why do I need to do it?
Closing your day is the process you take to reconcile your money. When you close your day, you compare the amount of money you actually have on hand (in cash and balance in your bank account) to the amount of money you have recorded in KOTRA Riel. See more on ‘Why is reconciling money important’.
Why is reconciling money important?
Reconciling your money compares the amount of money you actually have on hand (both in cash & in your bank account) to the amount of money you have recorded in KOTRA Riel. It is important that you ‘close your day’ and reconcile your money at the end of every day to check that you entered all transactions correctly.
When you close your day you identify differences between your actual money and your money recorded in KOTRA Riel. Maybe you forgot to record a sale or an expense? Reconciling your money gives you an opportunity to correct any errors.
It is important that all transactions are correctly recorded in the app so you can rely on the reports to make business decisions or apply for a loan.

Managing your sales
How do I record a sale?
- From the dashboard tap “Add New Sale”.
- You can choose either enter the total price or add a product to the sale. Tip: If you need help adding products to the app refer to our guide ‘How do I add new products?’.
- Check the date is correct and adjust if needed.
- You can enter a description if you like (This field is not mandatory).
- You can select the customer name if you like (This field is not mandatory). Tip: If you need help entering customers, refer to our guide on ‘How do I add new customers?’.
- Tap “Confirm”.
- Well done! Your sale has been recorded. Tip: If you made a mistake and need to edit the sale? Refer to our guide on ‘How do I edit a sale?’.
How do I edit a sale?
- From the dashboard tap the ‘List Sale’ button. Tip: You can also tap on the daily sales total.
- Select the date on which the sale was made. Tip: You can also filter by customer if you know which customer the sale was made to.
- Scroll through the list until you locate the sale you need to edit.
- Tap on the sale and select “Edit”.
- Change the details you need to change.
- Tap “confirm”.
- Well done! Your sale has been edited.
How do I delete a sale?
- From the dashboard Tap the ‘List Sale’ button. Tip: You can also Tap on the daily sales total
- Select the date on which the sale was made. Tip: You can also filter by customer if you know which customer the sale was made to.
- Scroll through the list until you locate the sale you need to delete.
- Tap on the sale and “Delete”.
- A message will appear ‘Are you sure you want to permanently delete this sale?
- Tap “Confirm”.
- Well done! Your sale has been deleted! It will no longer appear in your sales list or reports.
Managing your expenses
How do I record an expense?
- From the dashboard tap “Add New Expense”.
- Enter the total price.
- Select the expense category.
- Check the date is correct and adjust if needed.

How do I delete an expense?

- Scroll through the list until you locate the expense you need to edit.
- Tap on the expense and select “Delete”.
- A message will appear ‘Are you sure you want to permanently delete this expense?

Monitoring your business performance
How do I check my profit?
- From the dashboard tap “See Report” Tip: The first time you look at your reports you will be asked to set up a PIN. Refer to our security section for more information about setting up your PIN.
- In the reports menu you will a summary of the income, expenses and profit for each month. Tip: you can tap on the month to see detailed information on your sales and expenses
Managing your products
How do I add new products?
There are two options:
- Whilst you are recording a sale
From the dashboard (main screen):
- Add New Sale >
- + Add product(s) to the sale >
- + New Product
- You are now in the ‘Add new product’ screen, here you can enter the product name, selling price and select a product category (if you wish to).
Tip: You can even add a photo of your product. Tap the photo symbol at the top of the screen.
Via the settings menu
From the dashboard (main screen):
- Tap the three lines in the top left hand corner of the app.
- Select “‘Sale & Expense’.
- Select ‘Products’.
- Tap the ‘+’ button
- You are now in the ‘Add new product’ screen, here you can enter the product name, selling price and select a product category (if you wish to).
Tip: You can even add a photo of your product. Tap the photo symbol at the top of the screen.
Managing your customers and suppliers
How do I add a new customer?
- From the dashboard tap the settings button. Tip: The settings button is located in the top left hand corner of the screen. It looks like three lines inside a circle.
- From the settings menu tap ‘Customers’.
- Tap ‘+ Add New Customer’.
- You are now on the Add customer screen. Enter the name of the customer and click ‘Confirm’.
Tip: You can also enter the customers phone number and photo if you like. - Well done! Your customer has been added.
How do I add a new supplier?
- From the dashboard tap the settings button. Tip: The settings button is located in the top left hand corner of the screen. It looks like three lines inside a circle.
- From the settings menu tap ‘suppliers’.
- Tap ‘+Add New Supplier ‘.
- You are now on the Add supplier screen. Enter the name of the supplier and click ‘confirm’. Tip: You can also enter the suppliers phone number and photo if you like.
- Well done! You will now see the new supplier appear in your list of suppliers.
Managing app settings
How do I change the language settings?
- From the dashboard tap the settings button. Tip: The settings button is located in the top left hand corner of the screen. It looks like three lines inside a circle.
- From the settings menu tap ‘Settings’
- Under account settings, tap ‘General Settings’.
- Tap on the language you wish to select.
- Tap the ‘Save & exit’ button at the bottom of the screen.
- Well done! the language setting has been changed.
Can I use both USD and Riel currencies?
Yes! When you sign up to the app you will be asked to select your preferred currency but when you are entering sales and expenses you can enter them in either KHR and USD.
How do I edit my business information?
- From the dashboard tap the settings button. The settings button is located in the top left hand corner of the screen. It looks like three lines inside a circle.
- From the settings menu tap ‘Settings’.
- Under ‘Account settings’ tap “Business Information”.
- Here you can view and edit your business information as needed.
- Tap “Save & Exit” if you made any changes and the app will be updated.

Security
What is the PIN for?
You can enable a PIN for security over your reports.
When you enable your PIN you will be required to enter it each time you wish to view your reports.
It stops people accessing your reports when you don’t want other people to be able to view them.
Tip: It does not stop people opening KOTRA Riel and entering transactions. It is important you have proper security on your phone such as PIN, pattern or face ID.

How do I enable PIN security?
You will be prompted to enable PIN security when you first access your reports. We recommend you set it up the first time you access your reports.
After this, you can enable PIN security by:
- From the dashboard tap the settings button. Tip: The settings button is located in the top left hand corner of the screen. It looks like three lines inside a circle.
- From the settings menu tap ‘Settings’.
- Within the Settings menu tap ‘Security’.
- Tap to toggle pin security on.
- Enter a PIN.
- Confirm your PIN.
- Well done! your PIN is now active.
How do I disable PIN security?
- From the dashboard tap the settings button. Tip: The settings button is located in the top left hand corner of the screen. It looks like three lines inside a circle.
- From the settings menu tap ‘Settings’.
- Within the Settings menu tap ‘Security’.
- Tap to toggle pin security off.
- Enter your PIN.
- Tap ‘confirm’.
- Your PIN has now been deactivated.
How can I change the PIN?
- From the dashboard tap the settings button. Tip: The settings button is located in the top left hand corner of the screen. It looks like three lines inside a circle.
- From the settings menu tap ‘Settings’.
- Within the Settings menu tap ‘Security’.
- Tap “change the PIN”.
- Enter your current PIN.
- Enter your new PIN.
- Tap ‘Confirm’
- Your PIN has been changed, well done!
Is my data safe with KOTRA Riel?
As with any information stored on your phone, it is important you enable your phone security to ensure your data is safe. This could be by enabling a PIN code or face ID. This will ensure all of your phone data, including the data you record on KOTRA Riel is safe.
You can also enable PIN security within KOTRA which means you will be required to enter a PIN before you can view reports on KOTRA Riel. This is helpful if you lend your phone to friends or family members and don’t want anyone to view your reports.
